Chapter 7: Printing Reports


Introduction


Overview

This chapter discusses the processes and procedures for printing the system reports. These reports aid you in keeping track of your system tree. These reports may be useful for reference, and as a map or planning tool for your remote access sessions. If you use these reports to aid you in remote access it is very important to keep updated copies of the current system tree.

Terms

System Tree Report

This report prints the graphic image of the system tree, as it appears in the work area at the time of printing. Remember that this is a 'Graphical' print out of the system tree.

Detailed Tree Report

This report prints all of the controlling information for each object in the system tree. This includes the settings for each control, as well as entries in fields and scripts for ID and Main speeches. Remember that this is a 'Textual' representation of the system tree.

Printing the System Tree Report


The System Tree report is a graphic representation of the system tree, as it appears in the work area of the System Editor window. The report appears with the same details as appear in the system tree at the time of printing. This means that the report may print detailed information, as well as full expansion, if you've chosen to view your system tree in this manner.

Use the following procedure to print your System Tree report:

• While viewing the system tree, click the File menu heading on the menu bar. The File menu appears as shown in Figure 56:

• Select the Print option from the menu by clicking it with your mouse. The Print Selection box appears as shown in Figure 57:

• A black dot appears in the circle to the left of the System Tree Report (Graphical) option, indicating that it is currently selected.

Notice that the default settings for the From and To fields will allow you to print the entire system tree. If you wish to print the entire tree, you do not have to enter any numbers into these fields.

• In the From field, enter the absolute ID number of the first tree object to print. The default setting for this field is "0", as the first object in the tree is the System Greeting. You may enter any object ID number in the tree into this field.

• In the To field, enter the absolute ID number of the last tree object to print. The default setting for this field is the ID number of the last object in your current system tree. If you enter the same ID number into this field as appears in the From field, then only the selected object appears on the report. You may enter any object ID number into this field that appears farther down in the tree than the entry in the From field, or is the same as the number in the From field.

• Once you've chosen the range of the report, click the OK button, and the Print box appears similar to the one shown in Figure 58:

• This box appears a bit differently for each different type of printer. For all practical purposes, you may choose to print more than one copy of the report. To change the number of copies of the report, click on the Copies: field and type the number of copies you wish to print. The default setting for this field is "1".

For more information about your printer, refer to your printer's manual.

• Before printing, make sure that your printer is turned on, is on line, is connected to your computer, and is stocked with paper.

If you decide not to print this report at this time, click the Cancel button to discontinue printing and return to the System Editor.

• Once your printer is ready, click the OK button. The computer sends the necessary information to the printer, and the report prints. The application then returns you to the System Editor.

When you look at the Graphical Report, you may notice that some of the object descriptions are italicized. This indicates that the tree object was disabled at the time you printed the Graphical Report.

Printing the Detailed Tree Report


The Detailed Tree report is a textual print out of all of the controls, fields, and scripts of each object in the tree.

Use the following procedure to print your Detailed Tree report:

• While viewing the system tree, click the File menu heading on the menu bar. The File menu appears as shown in Figure 59:

• Select the Print option from the menu by clicking it with your mouse. The Print Selection box appears as shown in Figure 60:

• Now click the Detailed Tree Report (Textual) option. A black dot appears in the circle to the left of the option, indicating that it is currently selected.

Configuring Your Program Using Print Setup


If at some point you wish to change printers or the way your current printer prints, you may wish to use the Print Setup box to do so.

You may access the Print Setup box by selecting the Print Setup from the File menu, or by clicking the Setup button on the Print box. The Print Setup box appears similar to the one shown in Figure 62:

Some of the controls on the Print Setup box may be disabled or enabled depending on the style and make of your printer. The following is a short description of the controls:

Default Printer - This is the printer that your program normally uses. The name and make of the default printer appears in parentheses. When there is a black dot in the white circle to the left of this option, it is currently selected.

Specific Printer - This option allows you to use a printer other than the default printer to print your report. Clicking the arrow to the right of this field allows you to view a list of available printers. You may select one to use by clicking the desired option. The selected printer appears in the field. To use this specific printer, click the Specific Printer option. A black dot appears in the white circle, and the specific printer is currently selected to print the report.

Orientation - This set of controls allows you to print the report on the paper one of two ways: Portrait, which is the default setting, or Landscape, in which the report prints sideways on the paper. To select one of these options, click on the desired option. A black dot appears in the white circle to the left of the option, indicating that is currently selected. (You may wish to experiment with these settings, if they are available to your style of printer).

Paper Size - This field allows you to select the size of paper on which you will print the report. For practical purposes, you should use the default setting for this field.

Paper Source - This field allows you to select the source of paper for your printer. For practical purposes, you should use the default setting for this field.

OK button - This button confirms and saves the control settings on the Print Setup box.

Cancel button - This button discards any changes you made to the control settings on the Print Setup box. The setting return to the way they were before you made changes.

Options button - These options allow the user of a laser printer to adjust the light or darkness of the print, as well as the detail of the print.

Network button - This option allows you to select network printer connections, if your computer is connected to a network. You would then be able to print across the network to a printer connected to the network.
