Chapter 3: The Information Manager Window


Introduction


Overview

This chapter introduces you to the different controls for the Computerized Monitor Service information manager window. These controls affect the operation of the program and the adding, editing and printing of information as well as the appearance of the window. You use these controls to tell the program what you want to do. The program then responds with an appropriate action. We explain the purpose of each control and then tell you how to use each one. As you use the CMS Client Manager, these controls become second nature to you. Then you can concentrate on working with the client information. This chapter explains the following:

Terms

We use the following terms in this chapter:

Button

A button is anything that appears raised in relation to the surface of the program window. Buttons are typically square or rectangular. You press a button when you click on it with the mouse.

Browse

To browse is to view the Called Party forms in sequence, one after the other. You can browse to find a particular client's information.

Called Party Form

The Called Party form is the area of the program window where you enter the information about the called party and the calling schedule. This dialog box also allows you to access the Payor Information and the Emergency Numbers dialog boxes.

Called Party List

The Called Party list is the list of called parties you get when you select the Open option in the File menu.

Clipboard

The clipboard is a temporary storage area in your computer's memory that Windows uses when you cut or paste something.

Copy

To copy is to make a duplicate of something. Within a Windows program, you would first select something to copy and then select the copy operation from a menu or with a Short-Cut Key. The most common copy operation involves text within a letter or document. The copy is placed on the clipboard.

Cut

To cut is to remove something from an area of the screen. Within a Windows program, you would first select something to cut and then select the cut operation from a menu or with a Short-Cut Key. The most common cut operation involves text within a letter or document. A copy of the cut text is placed on the clipboard.

Delete

To delete is to remove something and then discard it. Unlike cut, a copy is not placed on the clipboard. Generally, a delete is permanent.

Edit

To edit is to change the content of a form or document.

Highlight

To highlight is to show that you intend to perform an operation on an item, perhaps a cut or copy. Highlighting is also called selecting when you are choosing an item in a menu. Within Windows, an item or text is highlighted when it is displayed as light colored text on a dark background.

Paste

To paste is to move something from the clipboard to the screen. Typically, you paste text at the current cursor position.

Printer Driver

A printer driver is a translator between your computer and your printer. Almost every type of printer has a special printer driver.

Program Window

The program window is the box that a particular program appears in and controls.

Short-Cut Key

A Short-Cut Key is a single key or key combination that selects an operation without using the mouse.

Menu Controls in Computerized Monitor Service


This section discusses the menu items in Computerized Monitor Service and how to use them. We discuss the various ways they control your program. Once you actually sit down to use your program, you'll see that there really isn't anything complicated about using Computerized Monitor Service.

The Menu Bar

Even though menu bars are common to all Windows programs, the arrangement of and menu headings found on those menu bars differ from program to program.

A menu heading is the word in the menu bar that refers to the type of menu that displays when selected. The menu bar contains six main menu headings:

You can activate Pull-down menus by holding down the a key and the key corresponding to the underlined letter. (In this case: F, E, B, L, S or H) You can activate Items in the menus by pressing the key corresponding to the underlined letter of the word within the menu.

File allows you to manipulate your Called Party form.

Edit allows you to modify existing Called Party forms.

Browse allows you to view Called Party forms.

Logs allows you to view and print the program's logs--the Calls Made Log and the Master Call Log.

Settings allows you to open the Preferences dialog box where you can set the names for the services you provide, enter your company's information to be printed on your bills and choose the number of rings for your calls. This menu also includes the options to record and play standardized speeches.

Help displays the Help Control Options.

Clicking on a menu heading displays its pull-down menu.

Pull-Down Menus

Short-Cut KeyCombinations also appear listed next to the options and commands within the pull-down menus.

Pull-down menus are lists of options that appear when you click on one of the menu headings. These pull-down menus contain options that let you manipulate the program. A picture of the menu follows the description of that menu.

File Menu

This menu (Figure 16) provides you with options that allow you to manipulate the Called Party forms. From this menu, you can add, delete, or open Called Party forms. Options provided in the File menu are:

New. This option opens a blank Called Party form. You can enter new called party information and calling schedules. You also can access the Payor and Emergency Number dialog boxes from the Called Party form.

Open. This option displays the Called Party list. By selecting a called party from the Called Party list, you can display that person's Called Party form. The Called Party form holds the called party's information and calling schedules and allows you to access the Payor and Emergency Number dialog boxes. This way, you can edit this information.

Save. This option stores the currently displayed Called Party form, along with any changes or modifications.

A deleted Called Party form is gone forever unless it's re-entered.

Delete. This option removes the currently displayed Called Party form from the database. This option only works when all calls have been billed or no calls have ever been made.

Run Schedule. This option in the File menu tells Monitor whether or not to run your schedule of calls. If a check mark (ü) appears beside this option, your schedule of calls is running. This is done by clicking on the Run Schedule option. To stop running your schedule of calls, click on the Run Schedule option to remove the check mark (ü).

Billing. This option allows you to process your clients' bills.

Print. This option allows you to print the management reports.

Print Setup. This option allows you to select the type of printer you wish to use when you print. This option allows you to use a printer other than your default printer. The default printer is either the one you selected during Windows installation or the one we sent you with your computer (if you purchased your computer from us).

You must make sure that you have the proper 'Printer Driver' (a translator between your computer and your printer) installed. If you do not have the proper Driver installed, see what you have to do to install a new printer driver.

Commit. This option allows you to save any changes you've made (in the current session). This means that the next time you enter the system editor, you'll see the changes you made in this session. If you do not commit the changes, no changes are kept for the current editing session.

Exit. This option closes the CMS Client Manager window. If you've made any changes to the currently displayed Called Party form, a message box appears with three buttons along the bottom (labeled Yes, No, and Cancel). Pressing the Yes button saves the changes to the currently displayed Called Party form and its subscreens. Pressing the No button ends your Computerized Monitor Service session without saving your changes. Pressing the Cancel button takes you back to the program without doing anything. If you select Yes or No, an advisory message appears asking if you want to commit to your changes. If you want to keep the changes you made, press the Yes button. If you do not, press the No button. This ends your CMS Client Manager session (the window closes).

Edit Menu

Using this menu, you can modify and manipulate text within the program.

Highlighted text is white text with a dark background. You do this by: 1. Placing your cursor in front of the text you want highlighted, then... 2. Holding down the Tab key while pressing the x key until everything you want is selected or you can drag your mouse over the entire text that you wish highlighted.

The Clipboard function of Windows acts as a temporary storage area for text or pictures. This is where the computer stores all the text you cut or copy until you cut or copy something else.

Cut. This command allows you to remove highlighted text from one place in the program and place that text into your clipboard. This makes it possible for you to paste (insert) that text someplace else.

Copy. Command's purpose is to place a copy of the highlighted text into your clipboard. This makes it possible for you to paste (insert) that text someplace else.

Paste. This option takes something you've cut or copied and inserts it at your cursor's current position.

Delete. This command erases the selected (highlighted) text from the screen. If you make a mistake, all you have to do is select the text you want to remove, go to the Edit menu, and select the Delete option or press the c key.

Browse Menu

This menu allows you to move around among your Called Party form entries as long as you have a Called Party form open. The Called Party forms appear alphabetically according to called parties' last names. Selecting this menu heading displays a menu with these options:

First. This takes you from wherever you might be to the first Called Party form. This makes moving around within your Called Party forms easier. If you're already in the first Called Party form, the computer beeps to let you know. You may also use the p key to access this option.

Previous. This option displays the Called Party form that appears before the currently displayed Called Party form. The computer beeps if you click on this option while viewing the first Called Party form. You may also use the q key to access this option.

Next. The Next option displays the following Called Party form. If the last Called Party form is currently displayed, the computer beeps to let you know. You may also use the r key to access this option.

Last. The Last option takes you to the last Called Party form. The computer beeps if you are already in the last Called Party form. You may also use the s key to access this option.

Logs Menu

This menu allows you to view and print the program's logs. They are:

The Tool Button Ribbon


The Tool Button Ribbon contains buttons for some commonly used commands. There are only five buttons that work without a Called Party form already open: the New Called Party button, the Called Party list button, the Exit button, the Help button, and the Print button. Pressing any one of these buttons (clicking with your mouse) activates the associated command. This saves you from having to activate the pull-down menus whenever you want to do certain things. The Tool Button Ribbon looks like:

The New Called Party Button

The New Called Party button allows you to enter new information on called parties, calling schedules, payors and emergency numbers. After you press this button, a blank Called Party form appears. Filling out this Called Party form and its subscreens and pressing the Save button saves the new information.

The Save Button

The Save button saves the currently displayed Called Party form and its subscreens. If the Called Party form or its subscreens have been modified (if you've edited it), you need to save the Called Party form before you can do anything else. The program saves over the existing Called Party form if you are saving modifications.

The Delete Button

The Delete button deletes the currently displayed Called Party form and its subscreens from the called party list as long as there are no unbilled calls or no calls have ever been made. When clients leave (discontinue your service), you can delete their information to free up space in your client list. Once you delete a Called Party form and its subscreens, it is impossible (short of reentering it) to retrieve the deleted information. For that reason, a message box appears asking if you are sure that you wish to delete the screen. Press the Yes button to delete the screen or press the No button to keep the information. This option only works when all calls have been billed or no calls have ever been made.

The Select Called Party Button

The Select Called Party button activates the Called Party list. This allows you to go directly to the Called Party form you want to view so you don't have to leaf through all of them to find the one you want. This button does the same thing that the File--Open menu option allows you to do.

The First Form Button

This button takes you from any Called Party form to the first Called Party form. This makes moving around among the Called Party forms easier. If you're already in the first Called Party form, the computer beeps to let you know.

The Previous Form Button

This button does the same thing as the Previous option in the Browse menu. Pressing this button displays the Called Party form that appears before the currently displayed Called Party form. The computer beeps if you press on this button from the first Called Party form.

The Next Form Button

The Next button does the same thing as the Next option of the Browse menu. Pressing this button displays the following Called Party form. If the last Called Party form is the one currently displayed, the computer beeps to let you know.

The Last Form Button

This button does the same thing as the Last option of the Browse menu. The Last Form button takes you to the last Called Party form. The computer beeps if you are already in the last Called Party form.

The Print Button

This button displays the print options and Print Preview dialog box. When you're ready to print a report (when you've completed filling out the Called Party form and its subscreens), printing is as easy as pressing this button.

The Exit Button

The Exit button allows you to exit the program.

The Help Button

The Help button activates the on-line-help function.

The Status Line


The Status Line is a long, rectangular box that appears at the bottom of the window. The Status Line displays information on items on the screen when the mouse pointer is over them.

For example, when your pointer is over the Help button, you see the message displayed in Figure 22 which appears in the Status Line.
