Chapter 3: The Program Window


Introduction


Overview

This chapter introduces you to the different controls for the Computer Appointment Verification client information window. These are the controls you use to add, change and delete client's appointment reminder calls. We explain the purpose of each control and then tell you how to use each one.

If you are already using another CBSI Windows program, you are familiar with these controls and you may not need to read this chapter.

As you use Computer Appointment Verification, these controls become second nature to you. This chapter explains the following:

Terms

We use the following terms in this chapter:

Browse

This is a method of moving from one Client Information form to another. You can use these controls to go to the first, the last, the previous or the next client screen in the Client Directory from any other client screen.

Button

A button is anything that appears raised in relation to the surface of the program window. Buttons are typically square or rectangular. You press a button when you click on it with the mouse.

Copy

To copy is to make a duplicate of something. Within a Windows program, you would first select something to copy and then select the copy operation from a menu or with a Short-cut Key. The most common copy operation involves text within a letter or document. The copy is placed on the clipboard.

Cut

To cut is to remove something from an area of the screen. Within a Windows program, you would first select something to cut and then select the cut operation from a menu or with a Short-cut Key. The most common cut operation involves text within a letter or document. A copy of the cut text is placed on the clipboard.

Delete

To delete is to remove something and then discard it. Unlike cut, a copy is not placed on the clipboard. Generally, a delete is permanent.

Edit

To edit is to change the content of a form or document.

Highlight

Highlighting is also called selecting when you are choosing an item in a menu to perform an operation on. In Windows, an item or text is highlighted when it is displayed as light colored text on a dark background.

Printer Driver

A printer driver is a translator between your computer and your printer. Almost every type of printer has a special printer driver.

Paste

To paste is to move something from the clipboard to the screen. Typically, you paste text at the current cursor position.

Program Window

The program window is the box that a particular program appears in and controls.

Short-cut Key

A Short-cut Key is a single key or key combination that selects an operation without using the mouse.

Window Controls in Computer Appointment Verification


The Window controls in the Computer Appointment Verification program are common to all Windows programs.

You use these controls to change the size, location and content of the program window. You can find a complete discussion of these controls in the "Getting Comfortable With Windows" section of your CBSI Redbook. That section of The Redbook contains a lot of important information that you'll find invaluable when working with Windows. If you are not familiar with these terms or their usage, you may wish to do some reviewing before going on.

Menu Controls in Computer Appointment Verification


This section discusses the menu items in Computer Appointment Verification and how to use them. We discuss the various ways they control your program. Once you actually sit down to use your program, you'll see that there really isn't anything complicated about using Computer Appointment Verification.

The Menu Bar

Even though menu bars are common to all Windows programs, the arrangement of and menu headings found on those menu bars differ from program to program.

A menu heading is the word in the menu bar that refers to the type of menu that displays when selected.

You can activate Pull-down menus by holding down the Alt key and the key corresponding to the underlined letter. (In this case: F ,E, N,C, P, O, or H) You can activate Items in the menus by clicking the key corresponding to the underlined letter of the word within the menu.

  • File allows you to manipulate documents in your Document List.

  • Edit allows you to modify and enhance existing documents.

  • Find allows you to locate documents in the Document List.

  • Character allows you to select the fonts (type styles) for a document, as well as other character formatting options.

  • Paragraph contains justification, indentation, and spacing options.

  • Other contains other miscellaneous options for cursor movement in the document editor, as well as a spell checker.

  • Help displays the Help Control Options.

  • Clicking on a menu heading displays its pull-down menu.

    Pull-Down Menus

    Short-cut Key Combinations also appear listed next to the options and commands within the pull-down menus.

  • Pull-down menus are lists of options that appear when you click on one of the menu headings. These pull-down menus contain options that let you manipulate the program. A picture of the menu follows the description of that menu.
  • File Menu

    The File menu provides options that allow you to manage the Client list. From this menu, you can add, delete, or open Client Information forms. Options provided are shown in Figure 10.

    Edit Menu

    Using this menu, you can modify and manipulate text within the program. Figure 11 shows an example of this menu.

    Highlighted text is white letters with a dark background. You do this by: 1. Placing your cursor in front of the text you want highlighted, then... 2. Holding down the j key while pressing the x key until everything you want is selected, or you can drag your mouse over the entire text that you wish highlighted.

    The Clipboard function of Windows acts as a temporary storage area for text or pictures. This is where the computer stores all the text you cut or copy until you cut or copy something else.

  • Undo - This command lets you cancel the last change you made.

  • Cut - This command allows you to remove highlighted text from one place in the program and place that text into your clipboard. This makes it possible for you to paste (insert) that text someplace else.

  • Copy - Command's purpose is to place a copy of the highlighted text into your clipboard. This makes it possible for you to paste (insert) that text someplace else.

  • Paste - This option takes something you've cut or copied and inserts it at your cursor's current position.

  • Delete - This command erases the selected (highlighted) text from the screen. If you make a mistake, all you have to do is select the text you want to remove, go to the Edit menu, and select the Delete option or press the c key.
  • Browse Menu

    This menu lets you move around among the client entries when you have a Client Information form open. Selecting this menu heading displays a menu like the one in Figure 12.

    Settings Menu

    The options in the Settings menu appear like the ones shown in Figure 13.

    Help Menu

    The Help menu contains access items that give you information about the program. The options on this menu are shown in Figure 14.

    The Tool Button Ribbon


    The Tool Button Ribbon contains buttons for some commonly used commands. Pressing any one of these buttons (clicking with your mouse) activates the associated command. This saves you from having to activate the pull-down menus whenever you want to do certain things. Figure 15 shows what the tool buttons look like.

    New Client Information Button

    The New Client button allows you to add the information necessary to set up a new client file. Clicking on this button opens a blank Client Information form. Fill out this form and save to add the new client to the Client Directory.

    The Save button saves new or modified information.

    Delete Button

    The Delete button removes the currently displayed client from the Client Directory. When a client discontinues your service, you can delete their information to free up space in your client list. Once you delete a client you cannot retrieve the deleted information without reentering the client information.

    A message box appears asking if you are sure that you wish to delete the client. Click on Yes to delete the form or click on No to keep the information. This option only works when all calls have been billed or no calls have ever been made.

    The Select Client Information button activates the Client Directory. You select the client you want to view from the Client Directory and click on OK. This does the same thing that the Open option on the File menu does.

    First Form Button

    This button takes you from any Client Information form to the first Client Information form on your client list. This makes moving around among the client information screens easier. This is the same as selecting the First option on the Browse menu. If you're already in the first Client Information form, the computer beeps to let you know.

    Previous Form Button

    Pressing this button displays the Client Information form that appears before the currently displayed client on the Client Directory. This button does the same thing as the Previous option in the Browse menu.

    Next Form Button

    Pressing this button displays the client that follows the one currently on the client list. The Next button does the same thing as the Next option of the Browse menu. If you are in the last Client Information form on your Client Directory, the computer beeps.

    Last Form Button

    The Last Form button takes you to the last client information screen on your Client Directory. This button does the same thing as the Last option of the Browse menu. If you are in the last Client Information form on your Client Directory, the computer beeps.

    Print Button

    This is the button to use when you want to print Client Reports or mailing labels. Clicking on this button is the same as selecting the Print option on the File menu.

    Exit Button

    The Exit button allows you to leave the program. This has the same effect as selecting Exit from the File menu. If you have not saved your changes, a message box appears asking if you wish to save these changes. If you select No, the edits are lost.

    Help Button

    The Help button activates the on-line-help function. The Help function has same information that is in this manual, but it is available on your computer from anywhere in the program.

    The Status Line


    The Status Line is a long, rectangular box that appears at the bottom of the window. When the mouse pointer is over an item on the screen, the Status Line displays information about that item. For example, when the mouse pointer is over the Help button, you see the message displayed in Figure 16.
