User's Guide to Business Manager
Chapter 12: Setting Management Options
Overview
The management options are the controls that you use to determine some of the 'Behind-the-scenes' workings of your Business Manager system. This chapter discusses the function and purpose of these controls, covering the following topics:
Terms
|
Global Settings |
These are settings for controls that affect the workings of all of your phone applications. |
|
Loop Current |
This is a measure of current that allows Business Manager to detect when a caller or called party hangs up. |
|
VOX |
This means 'voice' or 'voice recording'. In the context of the program, "Begin VOX" means 'begin voice recording', and "End VOX" means 'end voice recording'. |
Before you can begin using the Settings box, you must first access the settings box. Use the following procedure to do so:
While viewing the Business Manager window, locate the Settings! menu heading on the Menu Bar.
Click on the Settings! option, and the Global Settings box appears as shown in Figure 78:

At this point, you may begin using the Global Settings box.
Normally, you will not have to modify the settings of these controls. In some circumstances, you may use some of these controls to correct inconsistencies in your system's operation. Read the descriptions of the controls and their purpose carefully, as they contain instructions for the use of the controls.
General Settings
The General Settings control group contains three controls that you may use as you wish. These controls are:
Sweep Time field - You use this field in conjunction with any application you have that has Mailbox tree objects. This field works in conjunction with the Delete After __ Days field on each Mailbox. By clicking the downward pointing arrow at the right of the field, you may choose which hour of the day the old messages are deleted. The hour you select from the time listing appears in the field.
Local Phone Line field - You enter the number of the local line in this field, if you want it to be something other than the default setting of "32".
|
You can also perform an auto-find by using the a+F key combination from your keyboard. |
Auto Find button - Clicking this button allows you to find the local phone. When you click this button, the system rings the local line, so you know which phone to use. When the "Please pick up local phone" message appears, pick up the phone. The Monitor cannot be running when you use this feature. |
Phone Characteristics
The controls in this control group allow you to adjust how your system phone lines work. In most cases, you will not need to use these controls. The Phone Characteristic controls are as follows:
Loop Current Available check box - The default setting for this field is to be active, meaning an "X" appears in the check box. If you are having problems with your system hanging up on callers at an incorrect time, you should try deactivating this control.
Default Dial Prefix field - You may enter any special calling code that your system might have to dial to get an outside line. A dial prefix is commonly used in companies to get an outside line.
Default Dial Suffix field - You may enter any special account code necessary to complete a call into this field. If your business has a number suffix (typically for billing purposes), type that number in this field.
Touch-Tone Timeout field - You use this field to tell your system how many seconds to wait for a touch-tone response before hanging up. This means that a caller has this many seconds to press a key before the system hangs up. The default setting for this control is "3" seconds. CBSI researchers have determined that this is the optimum setting for this control.
Begin VOX field - This field controls the amount of time (in seconds) that the system waits for the caller or called party to respond before hanging up. If the caller does not say anything within this amount of time when prompted, then the system hangs up (i.e., it assumes there is no caller on the line). If the caller responds in the allotted amount of time, then the system begins recording. The default setting for this field is "1.5" seconds. CBSI researchers have determined that this is the optimum setting for this control.
End VOX field - This field controls the amount of time (in seconds) that the system waits for silence after a caller records a speech (i.e., the system times the pause after the speech). If the caller continues to talk without a pause as long as the setting, then the system continues to record. When the speaker stops or pauses for a time equal to the setting, the system stops recording and moves to the next activity. The default setting for this control is "2.0" seconds. CBSI researchers have determined that this is the optimum setting for this control.
Other Controls
These are some of the more standard controls. You've probably memorized their purpose by now, but here they are, just in case.
OK button - This button confirms the settings on the Global Settings box. If you made any changes, the changes save and you return to the Business Manager window.
Cancel button - This button allows you to avoid saving any changes and return to the Business Manager window. You use this button when you've made some changes that you decide not to keep, and you want the Global Settings controls to return to their original format.
Status line - This is the area at the bottom of the Global Settings box that displays notes pertaining to the parts of the box. For instance, you may move the mouse to a control on the Global Settings box and receive information pertaining to the function or purpose of that control.
